Who is responsible for your information

SHEAF Learning & Leadership operates from South Africa and is responsible for the personal information collected directly through this website. South Africa’s Protection of Personal Information Act (POPIA) is our primary privacy framework. Where another country’s privacy law lawfully applies to a particular activity, we will also respect the relevant requirements and rights.

This notice applies to visitors worldwide. It explains what we collect, why we use it, who helps us process it, how long we keep it and the choices available to you. It does not claim that every privacy law applies merely because this website can be viewed in a country.

Information you choose to provide

When you use the contact form, we collect the name, email address, enquiry type and message you submit. If you contact us directly by email, we also receive the information contained in your email and any later correspondence.

Please do not include passwords, identity numbers, financial details, health information or other sensitive personal information in a website enquiry.

Purposes and lawful grounds

We use contact information to receive and respond to enquiries, discuss requested books, resources, training, workshops or partnerships, keep an appropriate record of correspondence, prevent misuse and meet legal obligations.

Depending on the circumstances and the law that applies, we process this information because you asked us to respond or take steps before a possible agreement; because it is reasonably necessary for our legitimate interest in operating and protecting the SHEAF project and communicating with interested people; because we must meet a legal obligation; or because you have given consent. Where we rely on consent, you may withdraw it for future processing.

Providing information through the form is voluntary, but we may be unable to answer an enquiry without a working name, email address and enough detail to understand the request. We do not sell contact information or use a website enquiry to add you automatically to a marketing list.

FormSubmit contact-form service

The contact form is delivered through FormSubmit, an independent form-processing service. When you submit the form, the details entered are sent to FormSubmit so that the enquiry can be forwarded to our email address. FormSubmit may also process technical information needed to operate and protect its service.

Your submission is therefore handled by FormSubmit as a service provider before it reaches us. Its handling of information is also governed by the FormSubmit privacy policy ↗. If you prefer not to use FormSubmit, you may email us directly instead.

Optional Google translation

The Language control is optional. Google Translate is not loaded until you open that control. Opening or using it causes your browser to connect to Google. Google may then receive technical information such as your IP address, browser or device details, the page requested and your language choice. Google may use cookies or similar storage technologies, and information may be processed outside South Africa and your own country.

Google controls its own processing. Please read the Google Privacy Policy ↗ before using the translation feature. You can continue using the website in English without opening the Language control.

Cookies and similar technologies

SHEAF Learning & Leadership does not currently use its own advertising cookies or behavioural-profiling tools on this website. Essential hosting technologies may be used to deliver and secure the site. The optional Google translation feature may use Google cookies or similar technologies after you open the Language control.

You can block or delete cookies through your browser settings, although doing so may affect optional third-party features. This notice will be updated if analytics, advertising or other non-essential tracking is introduced.

Amazon purchases and external services

This website links to Amazon marketplaces but does not process book orders, card details or Amazon account information. When you follow an Amazon link, Amazon acts under its own terms and privacy notice and is responsible for the information it collects during browsing, ordering, payment and fulfilment.

Other external websites linked from this site are similarly responsible for their own privacy practices. A link does not mean that SHEAF Learning & Leadership controls that service’s processing.

Retention and deletion

We keep contact enquiries only for as long as reasonably necessary to respond, manage the matter, maintain appropriate business records and meet legal requirements. Routine enquiries are reviewed for deletion no later than 24 months after the last meaningful contact.

Information may be kept longer when a continuing business relationship, dispute, safety concern or legal obligation requires it. When information is no longer needed, we delete it or remove identifying details where reasonably practicable. Copies held by FormSubmit, email providers or backup systems may follow those providers’ own retention schedules.

Sharing and international processing

We share personal information only when reasonably necessary with service providers that support the enquiry, hosting and email process, when you ask us to do so, or when disclosure is required by law. We do not sell personal information.

The website’s hosting, form, email and optional translation providers may process information in countries other than South Africa or the country where you live. Where applicable law requires safeguards for an international transfer, we will use a legally permitted transfer basis or appropriate contractual, organisational or technical protection. Third-party providers also apply their own privacy terms and retention arrangements.

Rights for South African and international visitors

Subject to POPIA and any other law that applies to the relevant processing, you may ask whether we hold personal information about you and request access, correction or deletion. You may object to certain processing, ask us to restrict use where appropriate, withdraw consent where processing depends on consent, or complain about how your information has been handled.

If the EU GDPR or UK GDPR applies to your information, you may also have rights to receive certain information in a portable format and not to be subject to a decision based solely on automated processing that has legal or similarly significant effects. This website does not currently use such automated decision-making.

Visitors in other countries may make the same core requests. We will consider each request under POPIA and any additional rights provided by the law applicable to that person and processing activity.

If we cannot resolve a privacy concern, you may lodge a complaint with the Information Regulator South Africa ↗. Where another privacy law applies, you may also have the right to complain to the data-protection authority in your country or region.

Children’s information

This website is intended for adults interested in leadership, books, training and professional development. It is not directed to children, and we do not knowingly request personal information from children through the contact form. A parent or guardian who believes a child has submitted information may contact us to request its deletion.

Security, external links and updates

We take reasonable administrative and technical steps to protect personal information, but no website, email system or internet transmission can be guaranteed completely secure.

We may update this notice when the website, its providers or legal requirements change. The date at the top shows the latest revision.
